Transitioning From Another Ice Machine Company: A Tampa Bay Operator's Guide
March 2026 · 8 min read
Switching ice machine providers in Tampa Bay is straightforward once you know the order of operations. The mistake operators make is letting the old company pick up the machine before the new one is installed. That leaves you on bagged ice during a service period — usually right when you can't afford it.
Here is how to plan a transition while accounting for possible downtime.
Step 1 — Find the cancellation clause
Open the original lease or subscription agreement. You're looking for three things:
- • Term length and current renewal date
- • The notice window (usually 30, 60, or 90 days before renewal)
- • The early termination fee formula, if any
If your contract auto-renews and you miss the notice window by a day, you can be locked in for another full term. Check this first.
Step 2 — Send written notice the way the contract requires
Most contracts require certified mail, email to a specific address, or a specific cancellation form. Calling the call center doesn't count. Sample language:
To: [Provider name], Attn: Account Services
Account: [your account number]
Location: [your address]
This letter serves as written notice of cancellation of the equipment lease and service agreement at the above location, effective [date — at least your contract's required notice period from today].
Please confirm receipt of this notice in writing and provide a pickup date for the equipment.
[Signature, name, title, date]
Step 3 — Schedule pickup and document condition
When the outgoing provider confirms a pickup date, do two things: photograph the machine and the immediate area (floor, water line, drain, power), and require a signed pickup confirmation from the driver. Without this, some providers come back 30 days later with a "damage" invoice.
Step 4 — Install the new machine BEFORE pickup
Coordinate pickup and installation after confirming site needs, permission and equipment availability. Fixed weekdays or uninterrupted production are not promised; budget for a safe backup-ice plan.
The only constraint is space. If you only have room for one machine, the install and the pickup happen the same morning, with a few hours of bagged ice as a bridge. We coordinate the timing so it lines up.
Common gotchas
- • Partial-month billing. Some providers bill a full month even on a mid-month cancel. Verify.
- • Final invoice surprises. "Restocking fees" and "removal charges" appear on final invoices. Dispute in writing immediately.
- • The replacement ice clause. If your contract guarantees ice during service outages, get any credits owed before you cancel.
- • Auto-renewal windows. The window typically opens 90 days before the term end and closes 30 days before. Outside that, you're stuck.
